JOB DESCRIPTION

  • Responsible for performing a variety of administrative and office tasks in accordance with the Procedures established by the Organization and must provide administrative support to its Internal Clients (SM), as well as to other departments (HR, Control & Support, SCM/logistics, Procurement, etc.) and employees as defined in the Procedures of the Organization.
  • Site Administrator for project Workspace/SharePoint site: sets up, maintains, manages access rights, archivesstructure .
  • Manage technician training matrix expiries and organize refresher training.
  • Manage contractor certification and maintain training matrix.
  • Support controlling personnel management process (hours, diets, expenses

     

    Detailed Duties

    • PO management for orders
    • Reporting – consumptions / CADO for customer techs / month & weekly hours reports
    • Oil/Grease Sample reports administration.
    • Invoice Management /VIM (invoice approval in SAP4HANA)
    • Third Party Workers/ Contractors – end to end management of administrative requirements
    • Vehicle Management (tracking / ordering / maintenance / legal requirements).
    • Support with access and utilization of SAP platform.
    • Moving service orders if required by CPM.
    • Retrofit database – updating
    • PROJECT BASED Purchase request for goods – Ariba
    • PROJECT BASED Purchase request for services – Ariba
    • Site Inspections -quotes.
    • Site Inspections – PO’s.
    • PROJECT BASED Sourcing items through vendors and comparing quotes (tooling, consumables)
    • Framework PO’s management.
    • VIM/GR goods on Ariba/ Updating P6 with completions
    • Management of Goods Received administration .
    • Raising Notifications/Service Orders for Daily Jobs (Inc. Z1 MORS Notifications).
    • Completing/closing Service Orders .
    • Amending hours/correcting hours.
    • Reserving parts mainly service kits.
    • Assists the recording and archiving information on all activities carried out at site
    • Filing and storing generated documentation.
    • Assist planning and approval of vacations of personnel, managing service hours, time booking error investigation and removal
    • Assist Expenditure Control Process .
    • Training admin (bookings, documentation, governance)
    • Support site staff with preparation of document packs
    • New Starter onboarding
    • Support with access to documentation through Flux Workflows.
    • Notification management-rejected jobs

REQUIREMENTS

  • Graduated in Business Administration or relevant
  • 6 months – 2 years of experience being charge as Admin Officer, Project Admin,…
  • English communication is UPPER INTERMEDIATE
  • Having interpersonal skill and well coordinating with other departments
