We are in need of the Material Sourcing Admin Assistant who will provide administrative support and assist in material sourcing activities for the company. They will work closely with the administrative team and procurement department to ensure smooth operations and efficient material procurement processes and handle sample submissions, reviews and approvals.

  • Gross salary: 8-10 million VND, based on experience 
  • 40 hours per week, M-F

 

Responsibilities: 

  • Provide general administrative support, including managing calendars, scheduling meetings, and handling correspondence.
  • Assist in maintaining and updating records, databases, and filing systems.
  • Coordinate travel, accommodation, and logistics for team members.
  • Statement of work will be directly reported to Project Manager and project status updates as required.
  • Conduct market research to identify potential suppliers and source materials at competitive prices.
  • Communicate and negotiate with suppliers to obtain quotations, samples, and product information.
  • Evaluate suppliers based on quality, cost, and delivery reliability.
  • Collaborate material samples for client submission, review, and approval, including importing/exporting of materials/projects.
  • Follow up to ensure all samples are approved before factory fabrication.
  • Maintain accurate and up-to-date records of supplier information, contracts, and pricing agreements.
  • Collaborate with the procurement team to track and monitor material orders and resolve any issues or delays.
  • Assist in vendor selection and contract negotiations.
  • Assist in managing inventory levels and ensuring timely delivery of materials to meet project requirements.
  • Analyze material costs and identify opportunities for cost savings.
  • Other duties as assigned.

 

Requirements: 

  • A bachelor’s degree in business administration, supply chain management, or a related field is desirable.
  • 1 to 2 years of relevant experience in an administrative or procurement role.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficiency in using office software, including MS Office suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with procurement processes and material sourcing.
  • Ability to multitask and prioritize work effectively.
  • Excellent written and verbal communication skills in Vietnamese and English.
  • Strong analytical and problem-solving abilities.
  • Knowledge of inventory management and supply chain concepts is a plus.
