Responsibilities

  • Shadow and assist  HR/AD Director in daily global operation duties of back office, mainly in Vietnam and Singapore and coordinate with colleagues in Shanghai case by case based on the work assignment.
  • Administration:
    • Office administration: phone operator, mail post service and visitor management, parking registration, electric fee, office maintenance, special notice, equipment, stationery, manage tea-lady’s work, ensure the best office image and condition, office insurance, notarize company documents, schedule meetings and more
    • Daily office expenses spending, recording, coordinating with the finance team and outsource accounting company for the report on a weekly basis as well as support the schedule and banking input for payments
    • Internal/External events preparation and brainstorming for employee engagement programs
    • Vendor contract management, ensure the follow up of contract expiration and renewal
    • Business trip arrangement together with visa/work permit/residence card application
  • HR Support:
    • Employee database and employment documents drafting and managing
    • Attendance tracking and the holiday system managing
    • Social Insurance matter and additional Premium Health Insurance benefits managing
    • Union budget for activities managing, executing and reporting quarterly and annually 
    • Onboarding/Offboarding paperwork processing
    • Coordinate for Training materials, scheduling and preparation
    • Support the recruitment work in case
    • Participate in the procedure, and other mission when launching
    • Act as the key member that HR & AD team can rely on for important mission and evolution
    • Connect colleagues to ensure the best company culture and working atmosphere

Requirements

Must have 

  • Education & Experience:
    • Majored in Business Administration, Legal or Finance
    • Good English communication (writing and speaking)
    • From 1-3 years of experience in the same field
    • Be able to tackle multiple tasks and would like to develop a future career in general management with the completed skillset
  • Show the values that fit the team’s quality;
      • Honesty, loyalty, and integrity
      • Hard work, be extremely careful and details oriented
      • Confidential information protection
      • Has a logical thinking, can-do attitude and proactive problem-solving approach
      • Must be accountable for the result and quality delivered

Nice to have 

  • Experience in using Gmail, GG Drive, Trello, Slack
  • Familiar with Mac OS, Keynote
  • Skills on any design tools
